Safeguarding: 

At Susan Bence Art, the safety and wellbeing of every child is our highest priority.

We are committed to creating safe, supportive environments where children feel confident, respected and able to express themselves creatively.

 

Susan Bence Art operate in line with UK safeguarding legislation.

 

Our safeguarding approach includes:

  • Enhanced DBS checks for all teachers

  • Safeguarding training for staff

  • Clear reporting and escalation procedures

  • Professional conduct expectations

  • Secure handling of personal information

  •  

We work in partnership with parents and, where relevant, schools and local authorities to promote children’s welfare.

Terms and Conditions: 

1) Introduction

 

1.1 These Terms and Conditions govern your booking and participation in classes with Susan Bence Art.  By booking a class or participating in our services, you agree to be bound by these terms.

1.2 We may amend these Terms and Conditions from time to time. Any material changes will be published on our website and, where appropriate, communicated to customers in advance.

 

2) Booking and Enrolment

2.1 All bookings for classes must be made through our online booking system

2.2 When booking, you must provide accurate and complete information, including your name, contact details and payment information.

2.3 By completing a booking, you confirm that you have read, understood and agree to these Terms and Conditions.

2.4 A student’s place is confirmed once the online booking has been completed and the required payment at checkout has been successfully processed. Until this has occurred, the place is not secured and may be offered to another customer.

2.5 Responsibility for the details of bookings and payment rests with the person making the booking. Places are allocated on a strictly first-come, first-served basis. Where a class is full, customers will be placed on a waiting list and contacted should a place become available.

2.6 If a participant withdraws before attending their first class, any refund will be dealt with in accordance with these Terms and Conditions, the payment option selected at booking and applicable consumer legislation. Once classes have commenced, refunds will only be made where required under these Terms and Conditions or applicable consumer law.

 

3) Bookings, Subscriptions & Cancellation

3.1 Payment options vary depending on the type of class, course or activity being booked. The payment options available will be clearly displayed during the booking process.

 

Weekly Term-Time Classes

3.2 Weekly term-time classes are paid for a half term in advance.

3.2 Existing students remain enrolled from half term to half term unless Susan Bence Art receives at least 14 days’ written notice before the start of the next half term.

3.3 Customers joining part-way through a term will only be charged for the remaining lessons within that term, as calculated by the booking system.

 

Missed Classes:

In the event of a child being unwell, please notify Susan Bence Art as soon as possible.  The missed lesson will be credited to the next terms lessons. 

 

4) Payment

4.1 Payment options available for each class will be displayed during the booking process.

4.2 Customers are responsible for ensuring that valid payment details remain on their account throughout the duration of their subscription.

4.5 If a scheduled payment cannot be successfully collected, Susan Bence Art reserves the right to suspend attendance until the account has been brought up to date.

4.6 Susan Bence Art reserves the right to amend fees from time to time. Any fee changes will be communicated in advance and will apply in accordance with applicable consumer legislation.

 

5) Arrival and Departure

5.1 Each participant will be signed in and out at the start and end of each class using the register provided by the teacher. Parents or carers are responsible for ensuring these procedures are followed and must inform the teacher if anyone else will be collecting their child.

5.2 Parents may only leave once the register has been completed.

5.3 For safeguarding reasons, parents are not permitted to remain in the classroom during sessions unless specifically invited by the teacher (for example, during a trial session or open class). This policy ensures a safe, consistent, and focused learning environment for all students.

5.4 If a student is to arrive at or leave classes independently, written permission must be provided in advance.

5.5 Students should arrive no more than five minutes before the start of class and be collected no later than five minutes after the session finishes.

 

6) Programme Changes

6.1. In the unlikely event that a class is cancelled by Susan Bence Art, we will notify customers as soon as reasonably practicable and provide an appropriate alternative, which may include a replacement class, or refund, at our discretion.

 

7) Personal Property

7.1 Personal belongings remain the responsibility of the participant.

7.2 Participants will be provided with an apron. 

 

8) Drinks and Snacks

8.1 Participants should bring clearly labelled drinks and snacks where appropriate. All classes operate as nut-free environments.

 

9) Health and Injuries

9.1 Students participate at their own risk, and parents must inform Susan Bence Art and its staff of any existing injuries or medical conditions upon booking. Any medical conditions must be stated on the application form, and any changes must be notified to Susan Bence Art immediately in writing.

9.2 Medication brought to classes must be clearly labelled. Unless otherwise agreed in writing, students should be able to administer their own medication.

9.3 If a student becomes unwell or requires emergency medical treatment during a class, Susan Bence Art will make reasonable efforts to contact the parent or emergency contact using the details provided at the time of booking. It is the parent’s responsibility to ensure these details remain accurate and up to date. Emergency contact details can be updated through your online customer account.

 

10) Photography

10.1 During classes, photographs and videos may be taken of participants during activities. These images may be used for publicity purposes in images, videos, on our website, or in printed publications. Parents may update their photography preferences at any time by contacting Susan Bence Art.

 

11) Equal Opportunities

11.1 Cygnets Art School is committed to providing an inclusive, respectful and welcoming environment. Behaviour that is discriminatory, abusive, disruptive or inappropriate will not be tolerated and may result in the participant being asked to leave.

 

12) Liability and Insurance

12.1 Susan Bence Art maintains appropriate public liability insurance. Nothing in these Terms excludes or limits liability where this would be unlawful.

12.2 Parents remain responsible for ensuring appropriate medical information has been disclosed.

 

13) Data Protection

13.1 Personal information is collected and processed for the administration of bookings, payments and customer communications in accordance with applicable data protection legislation and our Privacy Policy.

 

14) Intellectual Property

14.1 All teaching materials, artwork, branding and content remain the intellectual property of Susan Bence Art unless otherwise stated.

14.2 No material may be copied, reproduced or distributed without prior written permission.

 

15) Feedback

15.1 We welcome feedback and will always endeavour to resolve any concerns promptly and fairly. Please contact your local Susan Bence Art in the first instance.

 

16) Governing Law

16.1 These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
